Administrative Assistant – Human Resources

The Zoo Ecomuseum is an educational wildlife park dedicated to education, applied research, and conservation of flora and fauna from the St. Lawrence Valley. The zoo cares for injured, orphaned, or human‑raised ambassador animals and showcases over 115 native species while promoting environmental awareness.

Job description :

Reporting to the Director of Human Resources and Legal Affairs, the Administrative Assistant – Human Resources provides administrative support to management and employees. The role is key to recruitment, payroll processing, employee file management and the development of internal HR policies.

Responsibilities :
  • Manage recruitment processes for all open positions
  • Support coordinators and directors in staff selection
  • Prepare hiring and termination documentation
  • Maintain employee records and files
  • Manage attendance, leave and overtime records in ADP
  • Process bi‑weekly payroll
  • Update salaries, employment status and employee profiles
  • Administer group benefits and employee perks
  • Provide guidance on HR policies, compensation and benefits
  • Manage incident reports and CNESST files
  • Coordinate first aid training and maintain certifications
  • Manage internship requests and onboarding
  • Oversee uniform inventory and distribution
  • Manage access rights and communication equipment
  • Coordinate performance evaluation programs
  • Update HR and payroll tracking files
  • Assist in the development and maintenance of HR policies
  • Perform other related duties
Candidate profile :
  • Diploma or certification in administration or related field (completed or in progress)
  • Minimum of two years of experience in human resources
  • Experience in a non‑profit organization (asset)
  • Fully bilingual in French and English (spoken and written)
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Access)
  • Legal authorization to work in Canada
  • Positive attitude and strong motivation
  • Excellent organizational skills and autonomy
  • Ability to manage multiple tasks simultaneously
  • High level of accuracy, efficiency and follow‑up
  • Quick learner with strong initiative
