We are looking for a full-time Administrative Assistant to join our team.
Job Description :
As an administrative assistant, you will support project management by preparing and communicating plans, tracking tasks and coordinating exchanges between teams and customers. You’ll help ensure smooth project progress and communication with all stakeholders.
Responsibilities :
- Create and communicate project plans, schedules and activity statuses in collaboration with your supervisor.
- Follow the project life cycle from customer purchase order to product shipment.
- Work with supervisor to develop, manage and implement project objectives.
- Communicate with the production team and purchasing department to ensure that priorities and responsibilities are clearly defined.
- Track all project tasks and update the project planner.
- Identify potential problems and proactively suggest solutions to your superior.
- Coordinate and manage communications with all project stakeholders.
- Follow up with customers and respond to their requests, including but not limited to updating project status and delivery, sending and obtaining approvals for required documentation.
- Establish cross-functional partnerships where necessary to ensure project success.
- Contribute to process improvement by suggesting new project tools and documentation, and gathering and sharing feedback.
Requirements:
- At least 1 to 2 years’ experience in a similar position
- Customer service (1 to 2 years)
- Spoken and written English
- Spoken and written French an asset
- Post-secondary diploma an asset
- Proficiency in Microsoft Office and Outlook an asset
- Ability to manage multiple projects at different priority levels with multiple deadlines
- Ability to work in multi-functional teams and collaborate with different levels of management and employees.
- Excellent interpersonal, organizational, prioritization, communication, leadership and problem-solving skills.

- Works well in a team and independently
- Has a strong work ethic and shows initiative
